This plan details the steps and schedule to help ensure a smooth transition. This includes deletion of some of our older files to simplify file mainten H ance H .  [Z < The Index  (aka "intindex.txt" aka "Table of Contents" aka "Gopher Index") The index is used by gopher to link a file descriptionto a file name. Gopher users can read the text of a file by selecting file description. FTP users can do a word search on the index to find files or subjects of interest. It can be determined from the file name (under the current system) where the file is located. For example, orcb5039.txt is in the Cable subdirectory of the Orders subdirectory (of /pub). Under the new system many of the file names will be more meaningful but it will be less obvious where the document is found. Under the new system, whoever prepares the daily digest will also be able to indicate the internet filename for each document.  The index, currently around 40 pages, has seven sections: News Releases, Speeches, Public Notices, Events, Orders, Notices, and Informal. Each section will be discussed separately.   [< News Releases: For the coming months (at least through August) the news releases will continue generally with the current procedures. The Press staff (Rosemary, Pat, and Kara) will assign the "nr__xxxx.txt" numbers to each news release and will put the releases in the Press "staging area" for the internet. Vince's scripts will put the releases in the proper subdirectory, according to bureau. The only difference will be that the press office will no longer work with the full index. There will be on the 'j' drive a news index, called nrindex.txt The Press staff will make updates to this index to avoid the problems we have been having with overwriting differing versions of the index. Whenever the IT (Information Technology) staff (Charles or Jorden) updates intindex for the internet, they will replace the news release section with the latest version of nrindex. The IT staff will delete news releases that"(0*0*0*-," were released prior to Jan. 1 1995. The IT staff will generally not make any changes to nrindex.txt, other than those corresponding to deletions. To standardize the nrindex.txt entries, the Press office should follow these guidelines: 1. Limit the item description to one line. 2. Use lower and upper case (not all caps). 3. Include the release date at the end of the description in mm/dd format.  [x < Speeches: Under the old system, all speeches have a file name beginning with 'sp' followed by the intials of the Commissioner who gave the speech. The Press staff place the speeches in the staging area and Vince's scripts send the speech to the Speeches directory. Under the new system, the Press staff will continue to assign the speech filename and place it in the staging area. Vince's script will send the speech to the speaker's subdirectory (Hundt, Quello, Barrett, Ness, Chong). However, the eightcharacter filename will be 'sp' followed by the first and last initials of the speaker (rh,jq,ab,sn,rc), followed by the date the speech was delivered (mmdd). For purposes of file maintenance, speeches delivered prior to Jan. 1, 1995 will be deleted by IT staff.  [< Public Notices: Under the old system, all PN's have the form 'pn__xxxx.txt'. Vince's scripts send the file to the bureau subdirectory of the Public_Notices directory. Under the new system, there will no longer be a single Public_Notices directory; instead each bureau or office wll have it's own Public_Notices subdirectory, with separate subsubdirectories for regularly appearing PN's. IT staff will place the PN's in the proper Public_Notices subdirectory. In general, if a unique identifier is associated with the document, that will be the file name. For example, a PN with a DA number or FCC number assigned, such as DA95036, will be internet file da950036.txt. (The full file name is eight characters). If no unique identifier, such as a report number or series number, exists, then the document will be assigned an internet filename of eight characters consisting of the bureau abbreviation (two letters), 'pn', the release date (three characters: mdd) and a sequence letter. See the attached document for examples. With some"(0*0*0*-," exceptions, IT staff will delete PN's released prior to Jan. 1 1995 as well as those PN's which have been superceded by events or more recent PN's. The new directory, Events, will have the calendar of events in file events.txt. Sharon will update the events.txt file on the j drive and will notify IWAY when the new version is ready to be placed on the internet. The IT staff will place it in the Events subdirectory.  [F< Orders:  Under the old directory structure, each bureau was a separate subdirectory under the Orders directory. Filenames began orxx....(where or stands for 'order' and 'xx' would be released by the twoletter bureau designator). Under the new structure, there is no longer an orders directory; there is a separate orders subdirectory for each bureau. Orders which pertain to more than one bureau will be placed in each bureau's order directory. Orders which do not pertain to any specific bureau (for example, rule changes) will be placed under Miscellaneous. The filenames for the orders will be the FCC number or DA number, whichever applies: For example FCC95123 will be fcc95123.txt and DA9523 will be da950023.txt The file names for orders will always be eight characters. The first element in the index description for each order will also be the DA or FCC number stated in full (eg FCC95123).  [< Notices:  Under the old directory structure, NPRMs, FNPRMs and the like were assigned names beginning with ntxx.... Under the new structure, these will be placed in the Orders directories using the DA or FCC naming convention. The first index entry will also show the DA or FCC number followed by NPRM (or FNPRM, as appropriate). There are several PN's in the old structure which will be renamed and entered in the Public_Notices subdirectory.  [6 < Reports:  Under the old directory structure, Reports contains Report & Order documents, informal reports and other documents. Under the new structure, Report & Order documents will be placed in the Orders subdirectories. 'Reports' under the new structure will be official (but nonbinding) reports issued generally at the Bureau level or higher. The naming convention will follow the naming convention for public notices, i.e., using the document number if there is one, otherwise rprtmddy (where m is the month 19,O,N,D; dd is the day if one is indicated, otherwise 00; and y is the last digit of the year). The first element in"(0*0*0*-," the index entry will be the report number on the report; if the report number is constructed (such as rprt4235.txt), it will not be entered.  [< Informal:  Under the old structure, informal documents and working papers use a filename beginning ilxx... (where xx is the bureau indicator). Under the new structure, the name assigned to the working papers will be at the discretion of the Bureau maintaining those files. Generally informal documents will not be mentioned in the daily digest as a released item; however they may be announced in PN's.  [d < Daily Business:  Daily Business does not appear in the index. In the old system, this directory had subdirectories holding the names of the files released to the internet every day. Vince's scripts sent the daily files to the Daily Business subdirectory for that day. In the new system, the Daily Business subdirectory for each day will be generated by a new script that examines the creation (or update) date for each file.
